National Policies 

I agree that my child and I will be bound by and comply with all Tennis Australia National Policies, as updated from time to time, and located at http://www.tennis.com.au/about-tennis-australia/reports-and-policies/policies.

Privacy Statement

To assist us in the provision of products and services, we need to collect personal information about you. When you provide personal information you agree that this will be used by Tennis Australia and other Australian Tennis Organisations (ATOs) under the terms of this statement, and the tennis privacy policy located at www.tennis.com.au/privacy, which contains information about how you may access and seek correction of your personal information or complain about a breach of your privacy, and how we will deal with that complaint. If you do not agree, you must not provide your personal information, and you may be unable to access all of our products and services. Tennis Australia and other ATOs may disclose your personal information to other parties, including our related companies, other ATOs, and third parties who provide us services. From time to time, these third parties may be located (and therefore your personal information may be disclosed) overseas, including to the USA and the Netherlands and as otherwise specified in the tennis privacy policy. Tennis Australia and other ATOs may use and disclose your personal information for direct marketing purposes regarding the products and services you are signing up to receive, unless you opt-out (which you can do at any time in accordance with the tennis privacy policy)

Participant Terms and Conditions 

I agree that my child and I will be bound by and comply with the tennis participation and online systems terms and conditions as updated from time to time

If my child is an ANZ Tennis Hot Shot Participant, I consent to my child registering as an ANZ Tennis Hot Shots participant and being bound by ANZ Tennis Hot Shot terms and conditions, as updated from time to time.

If my child a Cardio Tennis Participant, I consent to my child registering as a Cardio Tennis participant and being bound by the Cardio Tennis and conditions, as updated from time to time.

Toptenn Under 18 Policies

I authorise Toptenn to obtain medical assistance for my child as they see fit and will meet all expenses thereof. Please indicate any specific medical conditions our team should be aware of.

I acknowledge that I will not hold Toptenn or affiliates liable for any loss or injury which may be sustained during the program. As an option, Tennis Victoria membership forms are available from reception and include personal accident insurance.

I authorise Toptenn to use images of the participant/s of the program for promotional purposes only, i.e. promotional flyers, website.

Scheduled program times are subject to change depending on demand, court availability and venue. Final confirmation will be provided once enrolment has been processed. New classes are constantly added.
If possible 48 hours notice should be given if a student is unable to attend a lesson.

In the case of group classes, another session at another time can be arranged to make-up the class being missed.

In the case of private classes, another session needs to be arranged with the coach.

Please note your contract with Toptenn Tennis Academy for a private or semi private lesson is as follows:

Payment will be made before the lessons commence.

Your professional Coach will require a minimum 24 hrs notice if you are unable to attend the lesson. Failure to notify your Coach within 24 hrs, will result in a twenty-five dollar ($25) “late cancellation fee”

Failure to turn up for your lesson without notification incurs the full amount for the lesson. That is NO REFUNDS / MAKE-UPS are given.

The lesson is on regardless of weather (or forecasts) unless Toptenn notifies you, or if you are unsure you can contact the office or your coach direct, ask your coach for their mobile number.

In the case of semi private lessons, full payment is required regardless of number of participating students. You are paying to reserve this time, and we are committed to paying both the coach and the court hire for that lesson. It is the students responsibility to sort out amongst themselves who is responsible for the payment.

We offer you tennis lessons because we want you to improve. Therefore we want every student to receive their full compliment of lessons. However we are not obliged to do so and remind you that it is your responsibility to inform us of your absence in advance and then organise a substitute lesson.

Please note the following very generous conditions:

Make-up lessons must be taken in the same term.

A maximum of 3 make-up lessons is permitted per term

If a class is washed out then the entire lesson will be re-scheduled. Individual make-up lessons do not apply

Make-up lessons can be transferred to another student

Prior notice of any absence is a pre-requisite

Toptenn operates on very strict and small student-teacher ratios.

Your fees hold your position within this small ratio and it is your choice and responsibility as to how many classes you attend. It is strictly not possible to deduct the missed lessons from your account.
Our costs (eg. wages, balls, court hire, coaching rights, insurance’s, etc.) remain the same whether you attend or not.

Our coaching staff will make every endeavour possible to proceed with lessons. Being a Melbourne based tennis school Toptenn knows the sun can return at any moment. Toptenn’s venues have state-of-the-art court conditions and drainage. If it is not pouring rain at the time, it is likely play will continue.

Please take the time to read the following points so you know what do do next time it rains on tennis day.

Toptenn will cancel lessons in unsafe conditions. Toptenn has developed it’s own TeamApp (click here to download) in order to provide our students with constant weather updates. The head coach from each venue is responsible for posting constant updates when weather conditions are questionable. In most circumstances a Toptenn Professional Head Coach will make a weather related decision before the beginning of the lesson

We understand that we have a duty of care to each student and there are many working parents out there who depend on our supervision for the period of their childs tennis lesson. For that reason and for the purpose of continuity, in some cases an educational activity-based indoor or modified program will be conducted at each venue.

Your child will never be left alone and every effort will be made to contact parents who have not escorted their child to the venue if a session is cancelled. However we reserve the right to exercise our discretion to cancel a class. Please note that we coach at several venues each of which has different facilities and situations (Eg. kids walk straight from school).

Contact the office for specific wet weather policies for each venue and to pass on your work/mobile phone or babysitter’s number.

If Toptenn cancels a lesson due to inclement weather an extra Make-Up lesson will be added to the end of the term. If you would not like to take part in the session you are more than welcome to book for a make-up class. All students will always recieve their full 9 lessons each term.

To help Toptenn Tennis perfect student to coach ratios so you can get the most out of your ladies classes we ask you to please follow our Bookings policy:

(Regular) If you have paid upfront for the term of lessons Toptenn will expect you at each session that term as a Regular player, unless notified otherwise.

(Casual) If you prefer to pay casually each session then Toptenn will not expect you at a session unless you have notified your coach or the office (App, Txt, phone, email, etc)

All payments, casual and termly, must be made before the commencement of the lesson.

So that we at the office or the coach can contact you in the rare event of a cancelled lesson, please contact the office or get the coach to record your work or mobile number in his/her roll so that you can be contacted to make special arrangements. Our coaches will always wait with students until they have been collected by a parent / guardian.

Toptenn Tennis has a strict ‘No Pay, No Play’ Policy. This is due to strict insurance obligations and program popularity. Therefore, students must registers for the upcoming term before the Registration Date (generally the final week of the current term).

Students who fail to re-enrol before the Registration Date will be removed from their preferred class and their position will be offered to students on the Toptenn Waiting List.

A refund will only be provided in extreme cases. These cases must be discussed with the Toptenn office for approval. Credit notes will be given when necessary.

Common sense is always the best policy.
